Policy on the processing of personal data through video surveillance system (CCTV)

Preamble  

The purpose of this Policy is to inform the Company’s employees and collaborators and/or connected with it who are hosted in its premises and facilities and any third parties visiting the Company’s premises about the existence and operation of a video surveillance system through closed circuit television cameras (CCTV), the purpose of its existence and operation, as well as the security measures taken by the Company to protect the personal data of employees or any other third party and the rights of the latter in relation to this data. 

Controller 

The Private Company under the name «OSCAR OLYMPIC MONOPROSOPI ANONYMI ETAIREIA», with registered office in Thessaloniki, 25. Egnatias str, 54630, with TIN 801306399 (hereinafter the “Company”). 

Purpose of processing and legal basis 

The video surveillance system is used for the purpose of protecting people and goods. The processing is necessary for the purposes of legitimate interests pursued by the Company as data controller (Article 6 par. 1. (f) of the General Data Protection Regulation (EU) 2016/679, hereinafter the “GDPR”). 

Analysis of legitimate interests 

The legitimate interest of the Company consists in the need to protect the space and the goods therein from illegal acts, such as theft. The same applies to the safety of life, physical safety, health and property of the staff and any third parties who are legally present in the area. We collect only image data and we record only in places, which, in our view, are at risk of illegal action e.g. robbery or vandalism, such as: along the perimeter of the hotel building, along the perimeter of the hotel fencing, at the central entrance, at the side and rear entrances, at the reception desk and reception area, in front of the elevators on each floor and in the underground equipment and staff facilities, without focusing on areas where the privacy of those captured by the camera, including their right to the protection of personal data, is excessively restricted. 

Recipients 

The material can only be accessed by the competent authorized administrative staff of the Company. This material is not transmitted to third parties, with the exception of the following cases: a) to the competent judicial, prosecutorial and police authorities when it includes data necessary for the investigation of a criminal act, which concerns persons or goods of the data controller, b) to the competent judicial, prosecutorial and police authorities when they request data within the exercise of their duties, and c) to the victim or the perpetrator of a criminal act, when it involves data which may constitute evidence of the act. 

Storage time 

The cameras provide the possibility of live transmission and image recording. The data recorded is stored for 7 days, after which it is securely deleted. In the event that an incident occurs during this period, a part of the video is isolated, which is kept for up to one (1) more month, in order to investigate the incident and initiate legal proceedings to defend the legal interests of the Company; if the incident concerns a third party, the relevant part of the video is kept for up to three (3) more months. 

Rights of data subjects 

Data subjects have the following rights as the case may be: 

  • Right of access: you have the right to know whether your image is being processed by the Company and, if so, to receive a copy of it.
  • Right to restriction: you have the right to request the restriction of processing, such as not to delete data that you consider necessary to establish, exercise or support legal claims.
  • Right to object: you have the right to object to the processing.
  • Right to erasure: you have the right to request the erasure of your data.

You can exercise your rights by sending an e-mail to [email protected].  In order to consider a request related to your image, we will you must specify when approximately you came into range of the cameras and provide an image of yourself to facilitate the detection of your own data and the obfuscation of the data of third-party images. Alternatively, you may come to the Company’s premises and you will be shown the images in which you appear. It is also pointed out that the exercise of the right to object or delete does not imply the immediate deletion of data or modification of the processing. In any case, you will receive a detailed response to your request as soon as possible, within the deadlines set by the GDPR. 

Right to file a complaint 

If you believe that the processing of your data violates the GDPR, you have the right to file a complaint to a supervisory authority.
